Minutes of the March 16, 2021 Robinson Public Library District Board Meeting

Board members present in-person:  Craig Beals, Michael Garrard, Todd Liston, Rhonda Moade and Guy Rumler, Debbie Scott and Debbie Walls.

Board members present via Remote: None.

Board members absent: 0  Total board members present: 7

Library staff present in person: Director Doug Roberts, Asst. Director Michelle Blair, and Janice Shick, Bookkeeper.

 Guests present: None

 Public Present: None

 Meeting called to order at 5:34 p.m.

  Action Items:

  • Approved to accept minutes of February 23, 2021 (originally scheduled for February 16) board meeting as written, with no changes. Roll call of seven approved.
  • Approved the February Check Register results as presented by bookkeeper, Janice Shick. Roll call of seven approved. Board also provided with a brief review of the month/year-to-date balance sheet results and the aged payables
  • Approved Doug Roberts and Michelle Blair as Freedom of Information (FOIA) Officers for FY22. Roll call of seven

 Discussion Items:

  •  Board heard the President's Report from Debbie Scott which highlighted the following:
    • No new information to share with the board.

 

  • Board heard Director's report which highlighted the following:
    • The FY21 Public Library Per Capita and Equalization Aid Grant application, along with FY19 Expenditures Report, was submitted to the Illinois State Library on Monday, March 1, ahead of the March 15 deadline. Great job Michelle!
    • The ILLINET Interlibrary Loan and Reciprocal Borrowing Statistical Survey was verified and submitted to the Illinois State Library on Wednesday, March 10, 2021, well ahead of the May 15, 2021 deadline.
    • The Annual Library Certification for 2021 was completed and submitted on Monday, March 8, well ahead of the May 15, 2021 deadline.
    • Met with T-Graphics on Friday, February 26 to discuss signage choices and get order request submitted.
    • Ordered the new shelving and seating from Demco for the Teen/Young Adult reading area on Thursday, March 4, 2021.
    • Met with the Oblong staff on Tuesday, March 9 to discuss possible space changes – i.e. wall painting, relocation of the circulation desk, etc. We are targeting potential work on the location in late April/early May timeframe. 
    • The annual elevator inspection was completed on Thursday, March 11, 2021. The application for certificate renewal has been submitted to the Illinois Office of the State Fire Marshal.
    • Painting on the children’s area walls is going well. A scissor lift was rented the week of March 1 for the “up high” work.  That work was completed on 3/5.
  •  Working with the Hutsonville school district for an alternative meeting location for Hutsonville Library’s summer reading events because of current capacity constraints.
  • Purchased new loveseat from Big Lots in Terre Haute for the staff break area.
