Robinson Public Library District Board Meeting

 

Members present: Michael Garrard, Todd Liston, Rhonda Moade, Debbie Scott, Allen Summers and Debbie Walls. Members absent: Wendy Kastner. Total members present: 6

Staff present: Michelle Blair, Assist. Director; Doug Roberts, Director; Janice Shick, Bookkeeper Guests present: None

Public Present: None

Meeting called to order at 5:06 p.m.

Omnibus Agenda: Approved by roll call of six members present. Action Items:

  • Approved Budget and Appropriation Ordinance (Ordinance 2020-3). Roll call of six approved.
  • Approved to accept commercial insurance bid by Weber Insurance. Roll call of six approved. Board further agreed to convene a meeting of the established insurance committee to review the district's current insurance bid policy for future
  • Approved the appointment of Michael Garrard as the new Secretary and Treasurer by roll call of five approved (with one abstention) after receiving notification of resignation from the post by Wendy Kastner. Appointment will be effective
  • Approved Doug Roberts, Director, and Michelle Blair, Assistant Director, as election officers for 2020 and 2021. Roll call of six
  • Approved to rescind the prior month vote for reallocation of IT budget money from one branch to another branch. Roll call of six
  • Approved usage of funds from Special Reserve Fund to pay remaining balance for purchase of full-time employees' laptops. Roll call of six

Discussion Items:

 

  • Board heard from Roberts regarding the 2021 board elections with regard to key dates for packet pickup and filing dates; signature requirements; term length and effective date. Consolidated election is April 6,
  • Board heard Director's report which highlighted the following:
    • Staff nearing completion of the Illinois Public Library Annual Report (IPLAR).
    • District completed annual audit with Kemper CP Group LLP on July 29-31.

Awaiting final results from Kemper.

  • Robinson facility had annual alarm inspection by FE Moran on 8/3. No major issues

  • New laptops for full-time staff received/installed on 8/13.
  • Smartboard installation in the Newlin Room delayed until September due to backorder of some equipment
  • District received five designs for our logo contest. The top three designs will be posted on the district's Facebook page for voting. Voting will close seven days after
  • Advised that a community-wide shred event has been scheduled with Data Management of Terre Haute, IN for Saturday, September 19, 2020 from 8 a.m. to
    • noon on the library's parking lot.
  • Director will be working with CGI Communications, of Rochester, NY on a community spotlight video for the library that will be posted on the city of Robinson's website.
