Minutes of the March 15, 2022 Robinson Public Library District Board Meeting

Board members present:  Craig Beals, Michael Garrard, Todd Liston, Debbie Scott and Debbie Walls

Board members absent:  Rhonda Moade and Guy Rumler

Total board members present: 5

Library staff present: Director Doug Roberts, Janice Shick, Bookkeeper, and Mindi Williamson, Children’s Librarian

Library staff absent:  None

Guests present: None

Public Present: None

Meeting called to order at 5:31 p.m.

Action Items:

  • Approved to accept the February 15, 2022 board meeting minutes as written, with no changes. Roll call of five approved.
  • Approved the February Check Register results as presented by bookkeeper, Janice Shick. Roll call of five approved. Board was also provided with the month/year-to-date balance sheet results and the aged payables  
  • Approved the Robinson Public Library District five-year plan of service. Roll call of five approved.
  • Approved Doug Roberts and Mindi Williamson as Freedom of Information Officers (FOIA) for FY23. Roll call of five approved.  

Discussion Items:

President’s report highlighted the following:

  • Debbie Scott mentioned trying to do something in memory of Michelle Blair as part of our new Children’s Area remodel. She thought perhaps a plaque would be in order.  It was mentioned perhaps incorporating Michelle’s dates in some type of Peanuts cartoon graphic, like Snoopy, which was Michelle’s favorite cartoon character.  The group found that to be a possibility.  Doug Roberts said that he would talk with T-Graphics.

Board heard Director's report which highlighted the following:

  • Carpet installation in the children’s area completed on Friday, February 18.
  • All district operations closed due to inclement weather on Thursday, February 24.
  • Reached out to Frontier regarding the installation status of our new phone system. Advised that we should be contacted by the project manager shortly.
  • Hosted a dramatic play reading by Three Birds Playhouse on Saturday, February 26. There were two readings of the play “Walk, Don’t Ride” A Celebration of the Fight for Equality by Peter Manos at 10 a.m. and 1 p.m.  The play was in conjunction with Black History month.
  • Spoke with Chris DiBiase, an inspector from the Office of the State Fire Marshal, on Tuesday, March 1, 2022 at 11:13 a.m. He confirmed that we were no longer subject to an annual state certification inspection and that our elevator had been removed from the inspection list.
  • All sections completely re-shelved in children’s area on Monday, March 7. We are still in the process of deciding how to disposition the large number of books weeded in order to get down to our resized area.
  • Hosted a community meeting on Thursday, March 10 in conjunction with the WEIU-TV Our Story program, which features local storytellers/historians providing interesting anecdotes about Crawford County. The library will also be the production location for the various storytelling segments that will be recorded, on Thursday, April 14.
  • Changed the scheduled date for our community shred event with Data Management from Saturday, March 19 from 9 a.m. to 12 noon to Friday, March 25 from 9 to noon.
  • The last date for filing Statement of Economic Interest forms is on Saturday, April 30, 2022.
  • Getting pricing on wireless receipt printer to be used at new children’s circulation desk.

Board heard the Children’s report from Mindi Williamson:

  • With the children’s section nearly complete, we have started having story hour each Wednesday in the area. The kids have enjoyed the new reading areas and the ease in finding books on the new shelving.
  • Mindi has also been going offsite to two different locations – Storybrooke Pre-K at LTC North Campus, which is part of the Regional Office of Education 12 (ROE) Pre-K program and also to Little Learners Child Care Center on N. Jefferson Street in Robinson – to conduct story hour weekly as well. Storybrooke is scheduled for each Tuesday and Little Learners each Thursday.
  • We have been extensively weeding our juvenile non-fiction section as part of our children’s area remodeling effort. Many of the books selected for deletion were either very outdated, damaged or haven’t been checked out for at least five years.
  • We are checking into the possibility of purchasing the Beanstack Online App to aide us in conducting reading challenges with our patronage – children and adult alike. We can use this service for our summer reading challenges instead of paper logs but because of the progress reports, and other challenges and goals available, this is a service that can be used the whole year round.
  • Debbie Scott summarized upcoming events for the district and then made a motion for adjournment. All were in favor.
