Minutes of the December 20, 2022 Robinson Public Library District Board Meeting

Board members present in-person:  Craig Beals, Michael Garrard, Guy Rumler, Debbie Scott and Debbie Walls

Board members present via remote: None

Board members absent:  Todd Liston and Rhonda Moade

Total board members present: 5

Library staff present: Doug Roberts, Director; Janice Shick, Bookkeeper; Mindi Williamson, Children’s Librarian

Library staff absent:  None

Guests present: Jodi Truitt, Kemper CPA Group

Public Present: None

Meeting called to order at 5:07 p.m.

Action Items:

  • After hearing the presentation of results concerning the library’s FY22 annual audit by Jodi Truitt of Kemper CPA Group LLC, the board approved to accept the findings of that audit. Roll call of five approved.
  • Approved to accept the November 15, 2022 board meeting minutes as written, with no changes. Roll call of five approved.
  • Approved the November Check Register results as presented by bookkeeper, Janice Shick. Roll call of five approved. Board was also provided with a brief review of the excess of accumulated funds report in addition to the month/year-to-date balance sheet results and the aged payables report.
  • Approved the FY2022 Annual Treasurer’s Report. Roll call of five approved.
  • Approved the proposed three-year building lease for the Hutsonville branch, effective January 1, 2023. Roll call of five approved.

Discussion Items:

President’s report highlighted the following:

  • No report.

Board heard Director's report which highlighted the following:

  • The Hutsonville branch hosted a visit from Santa on Saturday, November 26 as part of the village’s annual tree lighting event. We had 92 children and 91 adults visit Santa at the library.
  • Submitted the FY2023 Public Library Per Capita and Equalization Aid Grant Application and the expenditure report documenting disbursement of the FY2021 award on Friday, December 9, 2022. Received notification the same day everything had been received to move our FY23 application and FY21 expenditure report forward for processing.
  • Hosted a reindeer from Dahnke Family Farms along with a visit from Santa and Mrs. Claus at the Robinson library on Tuesday, December 13. We had 250 attendees (132 children/118 adults).
  • Marilyn Manning gave a genealogy presentation to members of the Crawford County Development Association. There were 10 members in attendance.
  • Submitted our application to become a FamilySearch Affiliate library on Tuesday, November 29. We received the counter-signed agreement signifying membership on Thursday, December 15.

Board heard the Children’s Librarian report:

  • We had a stuffed animal workshop sponsored by the Endowment Committee. We had 29 kids take part.  We had enough materials for 30 participants.
  • Had the Putt-Putt Story walk on November 16. We had 22 children and 18 adults participate.
  • We took part in this year’s Crawford County Health Department-sponsored Baby Shower at the Community Center on Tuesday, November 29. We supplied a new book and information to the expectant mothers in attendance.  We also had a door prize of a new Kindle Fire tablet.

Debbie Scott made a motion for adjournment.  All were in favor.
