Minutes of the April 20, 2021 Robinson Public Library District Board Meeting

Board members present in-person:  Michael Garrard (arrived 5:07 p.m.), Todd Liston, Debbie Scott, Guy Rumler, and Debbie Walls.

Board members present via Remote: Rhonda Moade.

Board members absent: Craig Beals

Total board members present: 6

Library staff present in person: Director Doug Roberts, and Janice Shick, Bookkeeper.

Library staff present via Remote: Assistant Director Michelle Blair

 Guests present: None

 Public Present: None

 Meeting called to order at 5:03 p.m.

  Action Items:

  • Approved to accept minutes of March 16, 2021 board meeting as written, with no changes. Roll call of six approved.
  • Approved the March Check Register results as presented by bookkeeper, Janice Shick. Roll call of six approved. Board also provided with a brief review of the month/year-to-date balance sheet results and the aged payables

Discussion Items

  • Board heard the President's Report from Debbie Scott which highlighted the following:
    • Offered congratulations to the three board members that ran for re-election on the results.
    • Reminded the newly elected board members that the May meeting would include taking the Oath of Office.
    • Reminded the entire board that the May meeting would also include election of new board officers.
    • Reminded the entire board that the May meeting would also be a time to reorganize the various board committees. Requested that if individual members had specific committees of interest to please let her know.  Otherwise, individual assignments would be handed out.
  •  Board heard Director's report which highlighted the following:
    • Summary of key district statistics for March.
    • The main area lighting project was completed on Friday, April 2, 2021.
    • Received our new elevator certificate of operation from the Illinois Office of the State Fire Marshal on Thursday, April 8, 2021. We are in compliance until April 23, 2022.  Director is still working to get the elevator re-classified from a dumbwaiter to a material lift, which would eliminate the need for annual certification.
    • New Oblong internet circuit was installed on Thursday, March 25, 2021. There were some initial technical issues that were quickly resolved and the new circuit is now running smoothly.
    • The new shelving and bench connectors were received, constructed and put into place in the Teen/Young Adult reading area. There was also some rearranging of the existing shelving to create a more inviting reading area.
    • Painting in the children’s area has been completed. We are now gearing up to install new carpeting in part of the area; have a local artist paint a mural on the east wall; and install new signage at the entrance to the area.
    • Completed annual staff performance reviews on Monday, April 12, 2021.
  •  The district is gearing up for summer reading. We have worked with the different communities to have alternate sites available for individual events to promote social distancing of attendees in light of continuing capacity constraints.
